Position Summary
The Office Manager/Office Coordinator serves as the front-line administrative professional for the organization and plays a vital role in ensuring efficient daily operations. This position provides comprehensive administrative, communications, and programmatic support to the Executive Director and Directors, while maintaining a welcoming front office environment for members, partners, and the public.
Essential Duties and Responsibilities
Front Office & Administrative Operations

Serve as the primary point of contact by answering phones, greeting visitors, and responding to general inquiries.

Maintain a professional, organized, and welcoming front office environment.

Manage office supplies and inventory; coordinate ordering and vendor relationships.

Schedule meetings, manage calendars, and coordinate logistics.

Prepare and distribute meeting agendas, packets, and correspondence.

Attend meetings as needed and take/transcribe minutes.

Maintain electronic and paper filing systems.
Membership & Database Support
- Process membership applications and renewals.
- Maintain accurate and up-to-date member database records.
- Assist with member communications, ribbon cuttings, and customer service.
Communications & Marketing Support
- Assist with communications, marketing, and outreach efforts.
- Support website updates, email campaigns, and social media posting.
- Assist with basic graphic design and promotional materials.
Organizational Support
- Provide administrative support to the Executive Director and Directors.
- Work collaboratively with board members, volunteers, and community partners.
- Assist with event planning, logistics, communication, registration, execution, and follow up as needed.
- Perform other usual and customary office management duties as assigned.
Qualifications
Education & Experience
- Bachelor’s degree in Business, Marketing, Communications, or related field OR equivalent combination of education and relevant work experience.
Knowledge, Skills & Abilities
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace (Docs, Sheets, Drive, Calendar).
- Familiarity with social media platforms; experience with Canva and Constant Contact preferred.
- Excellent organizational skills with strong attention to detail.
- Strong written and verbal communication skills.
- Ability to prioritize tasks, meet deadlines, and work independently.
- Professional demeanor and strong customer service orientation.
Physical Requirements
- Must be able to lift and carry up to 25–30 pounds occasionally and assist with setting up and breaking down for meetings and events.
Work Schedule
- Monday–Friday, 8:00 a.m. – 5:00 p.m.
- Occasional evening or weekend work may be required.
